A premier global law firm with a long-established presence in New York is seeking a full-time Intellectual Property Administrator to support its trademark and IP practice. This is a valuable opportunity for an experienced legal professional to contribute to high-caliber client work across litigation, corporate, and pro bono matters. Key Responsibilities

Client Work

  • Prepare and submit electronic filings through USPTO (TEAS, TTAB, Assignment Center), U.S. Copyright Office, and WIPO (Madrid System).
  • Coordinate with clients and local counsel to manage foreign trademark applications, renewals, maintenance, and assignments.
  • Draft and handle signature pages, legalizations, and document delivery to local counsel.
  • Maintain and monitor docketing systems; coordinate with internal docketing specialists.
  • Circulate weekly deadline reminders and review the trademark practice inbox for incoming correspondence.
  • Manage USPTO tracking tools (e.g., IP Badger) and provide timely updates to attorneys and clients.
  • Assist with clearance search orders and post-registration filings.

 

Practice Area Support

  • Develop subject matter expertise and serve as a trusted resource for attorneys and clients.
  • Maintain models, templates, and precedents for the IP group.
  • Oversee updates to the internal practice area webpage and coordinate business development efforts.
  • Support and help organize IP training programs and internal communications.
  • Liaise with foreign counsel to review and process international IP invoices.
  • Administer USPTO and USCO Deposit Accounts.

 

Firm Support

  • Cultivate strong, professional relationships with clients, vendors, and colleagues.
  • Communicate effectively with partners, associates, staff, and external parties.
  • Perform additional tasks and special projects as needed in response to evolving business needs.

 

Candidate Qualifications

  • Minimum of 5 years of experience in trademark prosecution within a legal or law firm environment.
  • In-depth knowledge of U.S. and foreign trademark filing and maintenance procedures.
  • Proven ability to manage multiple projects and deadlines in a high-pressure environment.
  • Strong interpersonal and communication skills; professional demeanor at all levels.
  • High attention to detail and strong organizational skills.
  • Proficiency in trademark-related software and standard office applications.
  • Excellent data entry, proofreading, and reading comprehension skills.
  • Ability to work independently and as part of a team.
  • Willingness to work overtime and travel as needed.
